How to work smart and be more productive

Do you want to learn how to master time management and be more productive? Begin by implementing these amazing tips.

  • Work out your goals:

Set your goals for your work or personal life; Working without objectives would be like a ship’s captain being lost at sea, which is how working without goals and targets would feel in an organization. No doubt, you would get lost. Make sure your goals are reasonable and reachable when you set them for yourself.

  • Make a To-do list:

Creating a to-do list for each project and objective. This must include all the quantifiable steps that must be completed.

In addition to helping, you stay focused, doing this allows you to see your progress as you move forward in the list.

There will also be distractions that could keep you from finishing a task. One should “always make a point of returning to and completing these duties once you are able to,” advises William. This can force you to regulate the number of projects you are working on at once.

  • Establishing Priority of Tasks:

Determine your genuine priorities in life and work towards them by creating annual, monthly, weekly, and daily objectives or desired results in order to avoid this. According to the following system, rank each of these:

Urgency: (A=high, B=medium, C=low)
Importance: (1 = high, 2 = medium, and 3 = low)

Always begin working on your list’s A1 (urgent and most important items) items first.

  • Work on 80-20 principle:

Pareto’s principle, often known as the 80/20 rule, states that just 20% of activities or efforts produce 80% of the outcomes.
For instance, reading 10 articles in an hour while reviewing them for a little longer than 5 minutes is preferable to reading three articles in depth over the duration of two hours.

  • Mono-tasking:

“If there are nine rabbits on the ground, if you want to catch one, just focus on one.” – Jack Ma

Mono-Tasking, simply stated, is taking and completing one task at a time. No distractions, No multi-tasking, No initiation of other tasks. Just one task at a time.

  • Practice the 4d

Do you know the time management “four D’s”? These four letters, respectively, stand for “DROP,” “DELEGATE,” “DEFER,” and “DO.”

Let’s quickly review them:

  1. Drop (Delete): There are always some tasks on your list that don’t need your attention and can be removed.
  2. Delegate: Delegate the task if someone can accomplish the task more effectively.
  3. Defer: Not everything needs to be completed right now. If it will take more time to respond, defer it.
  4. Do: Whenever you have the time and it is important, finish anything that needs to be done immediately.
